The interview

How would you describe OkWhen's relationship with your organization?

OkWhen, to me, to us as an organization is like a best friend you didn't know you need until you have them. They really become a part of your organization. It is really hard for me to separate out to say this was GABA and this was BehaviorLive because they've really become an integral part of you.

What is your role and what does your organization do?

My name is Videsha Marya. I am the current president of the Georgia Association for Behavior Analysis (GABA). A big part of what the organization does is host conferences related to behavior analysis in the state of Georgia.

What specific components of conference planning does OkWhen assist with?

They have helped us with every component of conference planning from how are we going to manage our registrations, what is the customer experience with attendees going to look like, hosting our events in a hybrid fashion, improving accessibility, and keeping a track of our finances. Literally everything.

Which specific services do you use from the OkWhen platform?

All in all conference management, managing registrations, syncing our registrants to our membership portal—which was something that we did in this past year, which was really helpful—streaming our conference virtually live, and also having access on demand.

How does the OkWhen team support you during the planning process?

There have been multiple moments where OkWhen has come to our rescue. Because we host two conferences a year but they do so many, they know the process. If we ever have skipped a step or haven't thought of something, they prompt us. Their account managers have been exceptionally helpful.

What feedback do you receive regarding the technical execution of the events?

Attendees are already expecting that level that OkWhen has set, that industry standard. From how registration tabs are printed to how the stage is set up, how recordings are held, and where the camera is situated—all of that gets rave reviews for the clarity of audio-visual and recordings.

How do you use the OkWhen portal for attendee communication?

We use it as our one-stop shop for what attendees are going to see. All the information they need is available on the page: when the conference is held, where it is, how to get there, and what parking looks like. The platform allows for individualization to put whatever tabs or personalization you want.

What would you say to someone considering using OkWhen?

I would say try it. It's not until you try it that you're going to know what the experience is going to be like. They are really an incredible organization.

Frequently asked

Is OkWhen easy to use for organizations that only host a few events per year?

Yes. Videsha Marya notes that because GABA only hosts two conferences a year, they rely on OkWhen's account managers to prompt them if they skip a step or miss a detail in the planning process.

How does OkWhen handle hybrid event accessibility?

OkWhen provides a virtual component that allows remote attendees to access the same information as in-person attendees, including live streaming and on-demand recordings.

Can OkWhen handle custom branding and attendee information?

Videsha Marya highlights the platform's individualization, allowing organizers to personalize tabs and provide a one-stop shop for parking, schedules, and location details.
