Jeremy Pittman, owner of a three-location physical therapy practice, reports that Virtual Rockstar transformed his operations by offloading insurance verifications and authorizations to remote VAs. This shift allowed his front desk staff to be more patient-facing, improved team retention, and protected patient data through built-in HIPAA compliance features and clear onboarding.

The interview

Who are you and what is your business?

My name is Jeremy Pittman and I live in Cardival, Tennessee and I'm a physical therapy practice owner of three locations here.

What was the main reason you hesitated to work with Virtual Rockstar?

The number one reason I almost didn't work with Virtual Rockstar is because I did not know if my team was going to embrace having someone remote taking things off their plate and feeling like they possibly could be looked over or their jobs taken away.

What is the primary benefit you have seen since hiring them?

I think the number one benefit that I've seen since working with Virtual Rockstar is the ability of my front desk to be more patient-facing and not on the phone for so long talking to insurance companies. And I believe that helps with retention and just that home feeling when the patient walks in the door.

When did you know Virtual Rockstar was the right choice for you?

I think I knew Virtual Rockstar was right for me when I spoke with Will Humphreys, the owner of Virtual Rockstar. I just felt his energy and his passion for what he was doing. Also, the compliance features that they have built in to protect my patient data. I knew that they were different from other VA companies that I'd looked into.

How does Virtual Rockstar treat their virtual assistants?

Virtual Rockstar is the best at engaging the VA's and making them feel like a family instead of sitting on an island by themselves.

What was the onboarding and communication process like?

From the first moment that I signed with Virtual Rockstar the onboarding process has been really fantastic. They gave clear communication on what we needed to do and also helped with some of the training on how we're going to be HIPAA compliant. They're consistently reaching out to me to see if there's anything that they could do better.

What would you say to someone considering their services?

I would say make the discovery call. See if it's a right fit for you. I've recommended them to seven of my colleagues already because my experience has been so good and my VA is so good. In fact, at 9am every morning I get a text from her saying, 'good morning' because she tries to beat me to the punch.

Frequently asked

Will my team be upset if I hire a remote virtual assistant?

Jeremy Pittman initially worried his team wouldn't embrace a remote worker or might fear for their jobs. However, he found the opposite: it took tasks off their plates, allowing them to focus on patients and creating a better 'home feeling' in the clinic.
