The interview

What was your overall experience using OkWhen for your 2025 conference?

Our 2025 conference was the first time that we used OKWHEN for AV services, and that whole process from pricing to on-site was a great experience overall. We pretty much at the end of that conference said copy paste for next year. We want the same team. We love everybody.

What difficulties were you facing before working with OkWhen?

Before working with OK1, I had a lot of difficulties with hybrid events, specifically trying to make the quality of the video and recordings clear, having it be accessible to attendees, and integrate with CEUs as well as our conference app. The biggest headache was the integration with CEUs and a conference app; we were using two separate platforms, which made it difficult for attendees and us.

Which specific OkWhen services do you currently utilize?

The OKWHEN services we use are the mobile app, streaming, and AV services.

How would you describe the responsiveness of the OkWhen team?

Anytime I've brought something to Matt or Chris or Sarah, they've always been super quick to respond and able to make adjustments within the platform itself and its capabilities. They've always been able to make those adjustments before my event takes place. The support team is very responsive and really helpful with everything.

What features of the mobile app stand out to you?

The mobile app is very self-explanatory and easy to make edits. I like being able to see those in real time on my phone before it's published. Also, being able to do our call for papers directly through the app and then have it convert onto the agenda was a huge time saver, not having to manually input all of the sessions.

How has OkWhen impacted your attendance numbers and production quality?

Since working with OK1, attendee count has increased quite a bit. Before we started, we would get about 30 or 40 virtual, and now this past year, we're over 100 virtual. Our in-person count went from about 350 to expecting over 600 for this year. The production quality has been outstanding; they've been able to elevate what the stage looks like with great lighting and everything looks really clean.
